It was a pleasure to meet with you to discuss your home/property and how Sustainable can help you to realize your goal of . This letter will briefly outline our understanding of your needs, the required scope of our services, and Sustainable's fee structure for these basic architectural services and deliverables.

This proposal is intended to be read in concert with our Residential Handbook, which provides project stage descriptions and expectations. This proposal contains deliverables and budgets for Basic Architectural Services (indicated in black boxes), as well as estimate budget ranges for any anticipated Additional Services (indicated in white boxes with italics). Additional Services may be requested by you, recommended by Sustainable, and/or required by the municipality. Notice shall be provided prior to commencing Additional Services and are not included in budgets at this time.

Upon receipt of a signed copy of this agreement, a copy of your survey, and the retaining fee, we are prepared to begin work within X weeks/months.

The Fine Print

Fees for specialty consultants and municipal applications may be required during each project stage and shall be considered additional to the budgets contained herein. Surveyors and Engineering/Specialty Consultants can be retained directly by you under separate contracts and can range from $1,000 to $5,000+HST each depending upon scope and complexity.

Invoices are issued monthly and include deliverables completed to date. Larger project stages and deliverables may be broken into smaller invoices for progress payments at 25%, 50%, 75%, and 100% completion. We will only provide the basic architectural services that you request or require and shall be delivered in a timely manner with our dedicated, hands-on approach. Should Additional Services be required or requested we would be pleased to provide estimates for your approval.

Disbursements and HST shall be additional to our fees. A disbursement fee of $250+HST will be applied upon completion of Building Permit to cover estimated project expenses including but not limited to printing and copying, model making materials, 3D printing, mileage @$0.54/km, transit, and parking. This does not cover specialty consultant fees or municipal fees, which will be forwarded to you for direct payment, or may be processed as an expense with your approval (including 10% administration fee).

Invoices shall be due when rendered and payable within 30 days, or as otherwise agreed. Unpaid invoices shall bear interest per annum, calculated monthly, at prime plus 2% from 30 days to 60 days; prime plus 4% thereafter. If you wish to pay invoices by credit card, a 3.5% processing charge will be added.

In the event that you decide not to proceed with the project at any point, we will invoice you for time and expenses to that point. We reserve the right to stop the rendering of services in the event of non-payment. This proposal is valid for 30 days from date of issue, after which fees and services may be revisited.


Authorization

To begin work we require a $1,000 + HST = $1,130 retaining fee. This amount is included in the total budget estimate of architectural fees and is the minimum amount payable under this agreement.

To indicate your acceptance, please forward each of the following:

  • A signed copy of this proposal (page 4);

  • a $1,000 + HST = $1,130 retaining fee payable to Paul Dowsett Architecture Ltd. ;

  • existing property survey, drawings, and inspirational material you may have collected.

Upon receipt of this authorization, we are prepared to get started. We look forward to an enjoyable project with you. If anything requires clarification, please do not hesitate to bring it to our attention.
